Creating Acrobat forms that users can save changes to

Sometimes, otherwise positive technological advances leave important functions behind.

For example, CD's are so small, the liner notes are usually unreadable. Similarly, cell phones and PDA keyboards have become smaller than most people's fingers.

And when typewriters gave way to dedicated word processors, and then personal computers and all the other replacements, so did the ability to fill out paper forms easily.

In large part, forms have moved onto the web, but there are still many that need to be filled out in hard copy. There are plenty of government sites, for example, which will provide a PDF version of a form, which usually has not been enabled as a form, so it must be printed out and filled out by hand, or on a typewriter if you can find one at a local Kinkos.

If you have Adobe Acrobat Pro, you may have attempted to add form fields to one of these, only to discover that the typical user with Adobe Reader does not have the rights to save the form with entered data.

Users will see this message upon opening the form:
"You cannot save data typed into this form"

To enable your forms to be filled out, open the form in Adobe Acrobat Pro. Select "Enable Usage Rights in Adobe Reader" from the "Advanced" menu.

You may find that there are still problems, such as, if the user duplicates the form or uses the "save AS" function, they may find their rights disappear.

Gr8 information,...

Very helpful,... and which I was looking for.

Thanks

Great info... easily followed instructions... straight to the point... thank you

To allow those using Adobe Reader to save a filled-in form, in Acrobat Pro 9, choose Advanced > Extend Features

Any idea how to "Enable Usage Rights" in Acrobat Pro 7?
Underr the Advanced toolbar there is NOT an "Enable...." option.
Neither is there an "Extend Features" option as the previous user noted for Pro9

Any ideas?
A trawl of the the internet, or even Acrobats own help files has yielded nothing.

The option for Adobe Acrobat Pro 7 is under Comments -> Enable for Commenting and Analysis in Adobe Reader

You don't need Life Cycle Designer.

Thanks -- under the Advanced Menu, I selected Extend Features in Acrobat Reader ...

Worked perfectly, gave us exactly what we needed.

Thank you, that was the missing piece in the jigsaw!!!

Any idea how to "Enable Usage Rights" in Acrobat Pro 6

Hi,
I have Acrobat Pro 9, Advanced > Extend Features doesn't allow me to add attchments to the pdf form.

Can someone please help.

Hello Ellen,

Thanks for sharing the info.
After selecting "Enable usage rights in Adobe reader.." using Adobe Acrobat Pro i'm able to hide the message "Can not save the data...." but there is another serious problem after enabling it.

When i'm viewing the PDF in browser(we are loading the PDF in a browser programatically) i'm getting a confirmation popup having a message "This document enabled extended features in Adobe Reader. The document has been changed since it was created and use of extended features is no longer available. Please contact the author for the original version of this document."

Can you please help me in disabling this confirmation popup??

Your help in this matter would be greatly appreciated.

Thanks!
Naresh

Thanks for this! Adobe doesn't really spell this out very well in their help text...it sounds like you HAVE to have Life Cycle Designer to make it work, which is just not true. Thanks for helping us all out!

Thanks! We've been using PDF-XChange viewer to make and save changes to our PDFs. I always thought you needed an expensive add-on to Adobe Acrobat to get this functionality. This will be a great time saver.

Thank you very much!! I've got Acrobat Professional, and - Advanced>Enable Usage rights in Adobe reader - worked!

Thank you! Helped a LOT!

Great stuff... just what I was looking for

Hi,

I've been creating an editable workbook for my students to fill out in this way. for most part my editable PDF forms have been great although I have had a student email me saying she is using Adobe Reader X on windows 7 and the warning still appears to say she cannot save the data typed onto the form.

Any ideas?

Thanks
Ant

I can't find this option anywhere in Acrobat X Pro. Does anyone have any ideas how I can make this work?

I started creating pdf in acrobat and had to buy my own software. so I got nuance pdf converter professional and cannot find this option in this software. can anyone help?

Did you ever find a solution to this problem. I'm having the same experience. Really don't want to have to buy the expensive acrobat software, worried I might not have a choice. Help!?

To allow those using Adobe Reader filled-in form feature to save an electronic copy, you can print the form once filled-in then using a printer that has the scan to PDF feature, save an electronic copy of your work.

Thanks alot. It was usefull information.

Excellent just what I was after

Nuance PDF Converter doesn't support this feature. It is a proprietary function to Adobe. The only way around this is to purchase Nuance PDF Reader. But then, everyone who uses your form created in Nuance would have to have the Nuance Reader or a copy of the form on their PC.
